About Us We are a fast-growing education and coaching company helping psychiatrists and psychiatric nurse practitioners build successful private practices and learn integrative psychiatry through our flagship program, Dream Practice Academy. Our clients are high-level healthcare professionals, so professionalism, communication quality, emotional intelligence, and organization matter deeply to us. We are looking for a highly organized, emotionally intelligent, and proactive Sales Operations Coordinator to support our sales process and help ensure a smooth, high-quality experience for prospective clients. This is NOT a cold-calling or aggressive sales role. Instead, this role is focused on: Lead coordination Appointment management Operational support Calendar and CRM organization Helping ensure prospective clients feel supported and guided through the process We are specifically looking for someone who communicates clearly and warmly, has excellent judgment, can follow systems and SOPs consistently, takes ownership of problems, knows when to elevate issues, and is highly reliable and detail-oriented. Lead & Appointment Coordination (Phone-Based) Call newly booked leads to confirm scheduled consultation appointments Ask standardized pre‐qualification questions over the phone Help reduce no‐shows and ensure leads are properly prepared before calls Follow up with unconfirmed leads via phone, SMS, and email Reschedule or cancel appointments when appropriate Serve as the front‐line contact for inbound sales‐related texts and emails Help answer basic questions and guide leads through the process Communicate clearly, warmly, and professionally across phone, text, and email Read emotional tone and handle conversations with good judgment and tact Escalate more complex or sensitive situations appropriately CRM & Operations Support Keep CRM records accurate, organized, and up to date Track lead statuses, notes, and follow‐up tasks Help maintain clean calendars and smooth scheduling operations Follow SOPs consistently while using strong attention to detail and ownership Required Experience & Skills Experience in a client‐facing administrative, coordination, customer support, or sales support role Comfortable making phone calls regularly throughout the day Strong spoken and written English communication skills Experience managing calendars, scheduling, or appointment coordination Comfortable using CRMs, spreadsheets, and communication tools Strong organization, professionalism, and attention to detail This role is perfect for someone who's highly organized, emotionally intelligent, and naturally great with people. You thrive on structure, communication, and keeping operations running smoothly behind the scenes. You're proactive and dependable, able to anticipate problems before they escalate, and you take pride in following through on details with consistency and professionalism. You're comfortable managing calendars, coordinating logistics, handling phone calls and written communication, and keeping CRM systems accurate and organized. You have strong written and spoken English skills, communicate warmly and clearly, and can read between the lines in conversations rather than relying on robotic responses or scripts alone. Most importantly, you enjoy taking ownership, keeping systems clean and efficient, and helping create a smooth, high‐quality experience for both the team and prospective clients.
